AI & Automation Systems
Most small businesses lose hours every week to the same jobs: retyping web enquiries into a spreadsheet, chasing a missed clock-out before payroll, building the same report every month, answering the same customer questions by email. We work out what those jobs cost you, then build the system that does them, with AI where it reads or writes well and plain software where the answer has to be exact. You approve anything that goes to a customer or touches money.
Start with what the task costs you
Before anyone writes code, we sit down with whoever does the work and time it. Say your office manager spends three hours a week copying quote requests from the website into a spreadsheet and emailing a price back. At $35 an hour that is about $5,500 a year, before you count the quotes that went cold because nobody answered until Thursday.
That number goes in the written scope, next to the price of the build. If the system pays for itself inside a year or two, it is worth building. If it does not, we will tell you, and you keep doing it by hand.
What we have built
For Apex Outbuildings, an AI agent drafts a blog post on the first Monday of each month and emails one approval link; nobody at Apex writes or posts anything. On the 4th, a second job pulls the month from Google Analytics and Search Console and assembles the report on its own.
For an industrial shop south of Edmonton, we built a time clock and job tracker that runs on tablets at each bay. Crews punch in with their number, the system works out Alberta overtime, asks anyone who forgot to clock out when they actually left before payroll runs, and keeps punching when the shop Wi-Fi drops. Each job carries its hours from quote to invoice.
For Game On Sherwood Park, the events page reads the venue's Eventbrite listings every thirty minutes, so the site stays current without anyone logging in.
Where AI earns its place
AI is good at reading and writing. It can sort an inbox, turn a voicemail into a job ticket, draft a reply in your voice, or boil a week of timesheets down to a few lines for the owner. It is bad at anything that has to be right every single time, like a payroll total or a price on a quote.
So the split is simple: AI drafts, code does the math. Nothing leaves the building until a person approves it, and that step is what lets you trust it in week one.
A fixed price, then a monthly
You get a written scope and one price for the build. A small automation attached to a site you already have is a small project. A system that runs part of the business, like the time clock above, is a bigger one.
Systems need someone watching them, so most run on a monthly plan that covers hosting, monitoring, backups and small changes. When a new tool replaces an old process, we run them side by side until the new one matches, so a payroll never depends on a system nobody has tested with real hours.
How we build it
TypeScript and Next.js on Vercel, Postgres when there is data to keep, scheduled jobs for the things that run on their own, and the APIs of the software you already pay for. The AI models come from the major providers and only see what a task needs. Everything is documented, and your data can be exported whenever you want it.
Everything You Get
What Automation work with us covers.
How We Deliver Automation
You see every stage, and nothing goes live without your sign-off.
Find the Cost
We sit with whoever does the task and time it. You get a plain estimate of what it costs you each year.
Scope and Price
What the system does, what it does not, what it connects to, and one fixed price. You see the payback before you sign.
Build in the Open
Short cycles with a working preview after each, so you see it grow and correct it early.
Run It Side by Side
The old way keeps going until the new system matches it on real data. Then you switch.
Launch and Look After It
Deployed, documented and monitored on a monthly plan. Changes get scoped and priced the same way.
